Respond, control,document.

In maintenance, inspection deadlines, service intervals and unplanned faults compete for the same capacity – and they are usually kept in spreadsheets that remind nobody on their own. If a record is missing before an audit, the search costs days. fabular monitors deadlines in the system, brings the order and its documents to the plant on a mobile device and creates the record when the work is closed.

Three problems in maintenance

Deadlines are missed

Service intervals are tracked manually. Dates are forgotten, and breakdowns occur that could have been avoided.

Automatic reminders for all intervals and inspection dates.

Technicians have no documents with them

Work instructions and manuals sit in the office. On site, exactly the information that is needed is missing.

A mobile app with access to all relevant documents on site.

Inspection records have to be collected

Before external audits, records are gathered from various sources. That costs days and stays incomplete.

All records documented audit-proof and ready to export.

This page is for businesses with their own maintenance function that keep inspection deadlines, service intervals and statutory records in spreadsheets and folders today – fabular turns that into a plan that reports dates on its own and creates the record when the order is closed.

From practice

What is genuinely difficult in maintenance

The work at the plant is rarely the problem. It becomes difficult where deadlines, qualifications, spare parts and unplanned faults compete for the same capacity. An extra analysis of failure frequency does not have to become another tool either – described to fabAI, it stays part of the same asset history.

  • Inspection deadlines come from different sources: manufacturer specifications, operating instructions, expert reports and official requirements set different intervals for the same plant.
  • Condition-based maintenance needs measured values in the asset history: vibration, temperature or running-time values only help if they are attached to the component and not held in a separate file.
  • Faults displace the plan: a breakdown on the night shift ties up exactly the capacity that was scheduled for preventive maintenance.
  • Spare parts are missing at the worst moment: critical parts with long replacement lead times are rarely on the shelf, and the need for them sits in the maintenance plan, not in purchasing.
  • Qualifications limit resource planning: certain inspections may only be carried out by named people with a valid certificate. If a certificate expires, that often only comes to light at the inspection.
  • External companies work alongside: maintenance contracts, external inspection bodies and subcontractors produce records that have to end up in the same asset history as your own.

Deadlines in a spreadsheet

A list reminds nobody. It reminds the person who opens it, and only of what somebody wrote into it beforehand.

Plants without structure

Without a hierarchy of site, plant and component, history, costs and failure frequency cannot be tied to the place where the repair actually happens.

Records in the wrong place

Inspection reports in mailboxes and folders exist, but they cannot be found. The effort does not arise in documenting, it arises in searching before the audit.

The solution

How fabular handles it

Planning & deadlines

  1. 1.Intervals by time, running performance or condition.
  2. 2.Orders created and scheduled automatically.
  3. 3.Asset hierarchy with components.
  4. 4.A forward view of upcoming inspections.

Deployment & mobile

  1. 1.The order and its documents on the device.
  2. 2.Work through inspection checklists in a defined order.
  3. 3.Photos and measured values directly on the order.
  4. 4.Feedback possible offline.

Without documents on site, the documentation is written later from memory.

Records & qualification

  1. 1.Inspection documentation archived audit-proof.
  2. 2.Assignment by qualification and certificate.
  3. 3.Expiring training is reported.
  4. 4.The asset history is fully traceable.
How it runs

From the deadline forecast to the record

  1. Step 01

    Set up plants and intervals

    once, during implementation

Sites, plants and components are mapped as a hierarchy. For each object the intervals are stored, by time, by running performance or by condition values, together with the applicable inspection requirements and the qualifications needed.

  2. Step 02

    Orders are created automatically

in the system, with lead time

The interval creates the maintenance or inspection order early enough for material and staff to be scheduled. The forward view shows which dates are due in the coming period and where they overlap with production.

  3. Step 03

    Scheduling by qualification and material

    maintenance management

The order goes to people whose certificate is valid. The spare parts required are reserved or procured against the order, so the date is not missed because a part is unavailable.

  4. Step 04

    Execution on site

    mobile, also without a connection

The order, the work instruction and the checklist are on the device. Measured values, photos and deviations are captured directly on the order. If a defect is found, it becomes a follow-up order rather than a note.

  5. Step 05

    Feedback and record

    when the order is closed

Times, material and the result are reported back, the inspection record is filed audit-proof and kept in the asset history. For an external audit, the records held for a given plant can be retrieved specifically.

Common questions

Maintenance with fabular

How does fabular distinguish preventive and condition-based maintenance?

The difference lies in the trigger, not in the order. A preventive interval is triggered by time or running performance, for example every six months or after a certain number of operating hours. Condition-based means that a captured measured value crosses a threshold and an order is created as a result. Both routes produce the same type of order with the same checklists, qualification requirements and records.

What happens with an unplanned fault?

The fault report creates an order with a priority and a responsible person, and that order joins the same plan as the scheduled maintenance work. This makes it visible which preventive dates are pushed back as a result. Because the report is attached to the plant, the fault history grows per component and shows over time where a further repair no longer pays off.

How do inspection deadlines and statutory records come together?

Inspection deadlines from manufacturer specifications, operating instructions and official requirements are stored per plant and run through the same deadline monitoring. The record is created when the order is closed: the checklist, the measured values, the person carrying out the work and the date stay attached to the transaction, audit-proof. Which regulation applies to your business is decided by your specialists or the inspection body, not by the system.

Does mobile capture work without a network connection?

Yes. The order, the documents and the checklists are on the device, and feedback is possible without a connection. In maintenance this is not an edge case: plant rooms, basements and outdoor installations rarely have stable reception. As soon as the device is connected again, measured values, photos and times move into the order.

How are spare parts and maintenance requirements linked?

The material requirement is attached to the maintenance plan. The parts needed can be stored against an order and reserved, and consumption is reported back when the order is closed. This makes it clear in the forward view which parts will be needed in the coming weeks. For critical spare parts with long replacement lead times in particular, this lead time is the real gain.

How do we make sure that only qualified people carry out inspections?

For every inspection you can store which qualification it requires. The assignment takes into account whether the corresponding certificate held by the person is still valid, and expiring training is reported in advance. An expired authorisation therefore shows up in the plan and not in the audit report.
