What matters before the decision
What is an ERP system, and when does a business need one?
ERP stands for enterprise resource planning: a system in which purchasing, warehouse, production, sales and finance run on a shared data base rather than in separate programs. The benefit does not come from the software itself but from a transaction being recorded once, with every department seeing the same state. It usually becomes necessary when figures from several programs are combined by hand – or when nobody can say with certainty which stock figure is correct.
When is the right time to replace an ERP system?
Rarely when the old system fails – usually before that, at concrete signs: reports are produced in spreadsheets next to the system, adjustments are no longer possible or too expensive, new requirements such as batch tracing or ESG evidence cannot be mapped, or the vendor stops maintaining it. A replacement under time pressure costs more than one with lead time, because master data and processes can no longer be cleaned up calmly. We also say when a replacement is not yet necessary in our view.
Cloud or on-premises – what do you recommend?
That depends on your IT and on regulatory requirements. If you do not want to run your own server landscape, the cloud is cheaper and quicker. If you want to use fabAI entirely locally, or to keep data in the building as a matter of principle, choose on-premises. Both are standard, and a later switch is possible – the platform is deployment-agnostic.
How many adjustments do we realistically need?
The aim is configuration instead of custom development: fields, screens, reports, workflows and permissions are set by your IT itself. Real development is only needed when a function is missing that does not exist anywhere – and it then goes into the standard rather than staying with you as a one-off.
What happens to our legacy data?
Master data, open items and the history relevant to reporting obligations are transferred. Anything that has to be kept for compliance reasons but is no longer needed operationally goes into the archive rather than into the new system. The scope is agreed together during the assessment phase.
How often do updates come, and what do they cost?
Four releases a year – one per quarter – plus ongoing fixes, included in the maintenance agreement. We carry out the update together with you and test beforehand in a copy of your environment. Updates are routine, not a project.
